Applicants

During the application process, we require certain information or may obtain the following;

  • Resume/CV/Cover Letter (inclusive of career history and contact details of yourself, employers, references)

  • Email and online correspondence

  • Over the phone shortlisting/screening notes

  • Interview materials and feedback

  • Bank Details – if required

  • Other details as agreed to with you as required by the employer

All information is held for the purpose of assisting in applying for and securing employment with potential employers, and to adhere to compliance regulations.

 

Employers

All information collected is kept in order to build a better working relationship and understanding of your business needs. This may include materials to assist in attracting the most suitable applicants for your business, and may highlight the services your business provides. We may request to obtain the following;

  • Role descriptions – duties and remuneration

  • Organisational charts – determining authorisations if required

  • Job titles

  • Contact details for key hiring personnel

  • Banking details

  • Locations

  • Purchase orders and invoices

  • Any other information as agreed to that will assist in the hiring process

All information is held for the purpose of assisting in sourcing and hiring potential applicants/employees, and to adhere to compliance regulations.

 

Reference Checking

All information obtained by contacting referees is for the purpose of confirming the appropriate employees for potential roles. We may obtain:

  • Applicant contact details

  • Confirmation of Referee details such as contact details, employment, title and relationship to applicant

  • Feedback on the applicant

  • Job titles

  • Company information

All information is held for the purpose of assisting applicants in securing employment with potential employers, and to adhere to compliance regulations.

 

Information collected online

We utilise many platforms to source information that is available to the general public, and may source information from platforms such as social media sites, directories, internet sites, and other multimedia.

We also collect information via subscriptions to our website, sign up to our job notifications, questions submitted online via email or other Talentave portals such as website, or social media.

We use secure online applicant tracking systems (ISMS) and business management systems. If you would like more information on the systems we use to store information, please contact us.

All information obtained and stored is protected by online security systems, and measures are taken to ensure that your information is not misused, modified or accessed by unauthorised parties. Any information we no longer require to be kept for use and/or compliance will be destroyed.

Disclosure

In the event that we are legally required to provide your personal information, it will be generally be internally within our organisation, to clients and to references.

If background checks are required by the employer to be considered/employed in certain roles, we may request to conduct checks and additional personal information such as;

  • VEVO

  • National Police Checks

  • Working with Children Checks

  • Educational background confirmation

  • Other industry specific checks

If checks of this nature are required, you will be notified and will need to sign a confirmation or declaration to allow permissions to have these checks conducted.

 

Right to obtain information

If you wish to have access to your personal information held, please contact us and we will make arrangements to have information stored accessible to you. Due to systems, this may take time to obtain, so please allow for a time frame of 28 working days.
